Regardless of what your legal grounds for processing user data are, we have implemented a new set of features to facilitate managing users in line with the GDPR.
These are backend interface features that will help you identify when a user has been added to your press- or screening room. We are also introducing a new status type.
Added date
Added date column in Users/Contacts tells you when a user has been added to your press room or screening room. The added date helps you to identify for how long a user has been part of your distribution list/s and allows you to manage users who receive your messages in line with how you interpret the new regulation.
You can filter on a specific status type and sort on date from oldest to newest or newest to oldest.
User status
Purple users have changed slightly and now means they:
- have not registered an account,
and/or
- have not consented to being on a distribution list.
They do receive emails. If you want to re-invite a purple user to either register or consent to receiving emails, you can click the status icon to that user and send a new invite.
A purple user can at any point opt out from emails by unsubscribing from distribution lists.
Purple users are the contacts you need to track and follow up according to how you interpret the GDPR.
A new status type - blue - has been added. Blue means that a user have given consent to receiving emails without registering an account. A blue user can at any point opt out from emails by unsubscribing from distribution lists.
Blue users complies with the GDPR.
Green, and yellow users have, when registering an account (or when asked to consent to Clipsource updated Terms and conditions), given consent.
Green and Yellow users complies with the GDPR.
Users rights
Users are informed about their rights in the updated Clipsource Privacy policy, available on www.clipsource.com and individual press rooms, under Terms and conditions.
Registered users can at any point access and manage their personal information in accordance with the below rights that are stipulated by the GDPR:
The right to access and rectification
A registered user have the possibility to see what personal information is stored about them, to correct any information stored (with the exception of an email address that cannot be updated), via their account settings.
A not registered user have the possibility to contact you, or Clipsource, to find out what personal data is stored and to rectify any information stored about them.
Right to object and to withdraw consent
A registered user can withdraw consent via account settings by deleting themselves from individual distribution lists or by fully deleting their accounts.
A not registered user can at any point opt out from emails by unsubscribing from distribution lists.
Right to erasure
Also known as the ‘Right to be Forgotten’ - a registered user can, via their account delete all their personal data from individual press rooms and fully delete their account from the Clipsource platform. Upon complete deletion, all personal data stored is deleted.
A not registered user can contact you, or Clipsource, to ask to have their personal information deleted.
Right to data portability
A registered user can, via their account download a CSV file containing all personal data stored about the user in the database.
A non registered user can, upon request to you or to Clipsource, have their personal data stored sent to them as a CSV file.
