Contact section
The new contact section can be found in your Dashboard menu. The old contact section in each module will launch in the new contact section. Admin users remain in the menu, listed under 'Contacts'.
Contacts listing
The contact section displays the same four tabs as were available per module. If you have the Media Center and a Screening Room, all your contacts previously listed in the separate modules will be listed in the 'Contact' tab.
Group access shortcut
The group icon listed to each contact opens a modal, listing all groups a contact is added to. Group access can be updated from the same view. Other features, such as status to a contact, added date, and filters remain the same.
Logged-in access
All your contacts will now have logged-in access to Media Center, regardless of what group/s they are added to. This means that a contact who previously only existed in a Screening Room group will automatically have logged-in access to the Media Center, and vice versa.
Manage contacts
Contacts can be added individually to the list, by accepting incoming access applications, and by importing contact lists. Contact access and details are updated in the contact modal. Click the email address to open a contact modal. You can also copy an email address by hovering over the address and clicking the copy icon.
Read more about how to manage contacts.
Import contacts
Importing contacts looks a bit different but is done the same way as before, either by copying a list or uploading a .CSV.
Map contact information
Contact information is mapped by selecting the relevant data in the file per column. Here's a guide for how to import contact lists.
Groups listing
The group listing tab contains all your groups earlier listed in the separate modules, under different module headers. It also lists subscribers of press release categories.
Manage groups
You can copy groups and subscription lists to create new group listings. All subscriber listings and groups can be downloaded separately as .CSV files. If the new group is not given a new name it will automatically be given the initial group name together with (Copy) to separate from the original group.
Access applications
All incoming access requests, whether from the Media Center or the Clipsource Portal, are managed in the 'Access requests' tab. The tab header will display a badge with the number of pending access requests currently available.
Media Center applications
Applications done in the Media Center can also include requests to access screeners. In the application, contacts check what they would like to have access to. However, you decide what access to give, whether it's specific group access or logged-in access only.
Screening Room applications
Applications can still be made in the Portal to the separate Screening Rooms. In the application, applicants describe why they want access. When managing an application made to a specific Screening Room, logged-in access will be applied to all your Screening Rooms. You decide what access to give, whether it's specific group access or logged-in access only.
Manage applications
Opening and managing an access request, all your existing groups will be listed separately, per module workflow. You can choose to add contacts to one or several groups. If not given any group access a contact will automatically be given logged-in access to the Media Center and to all existing Screening Rooms.
Press release subscribers
Incoming access applications list all the news categories (press release categories) a contact has selected to subscribe to. In each contact card, you can see what categories a contact subscribes to. In the group listing, contacts can be filtered on each news category.
You can also create access groups from the categories by copying a category, and adding it as a group to a modal of choice.
Access and distribution workflows
Access and distribution of emails work as before with the difference that you have access to all your groups per module, in the separate workflows.
Access tab
All your contact groups are listed in the press release and the screener workflow under separate module headers. This means you have access to all your groups in both workflows. In each workflow, we list the most relevant groups at the top, i.e. to posts and events Media Center groups are listed at the top, and to screener posts the Screening Room groups are listed first.
Distribution tab
The selected contact groups chosen under access will appear in the distribution tab where groups are listed under separate module headers. Individual contacts added to the access tab will list under 'Added contacts', the same as today. In the distribution tab, the most relevant groups are listed at the top, i.e. to posts and events the Media Center groups are listed at the top, and to screener posts the Screening Room groups are listed first.
New access level to Screening Rooms
The same access level that previously only existed for press releases and events, visible in the logged-in view, is not also available for screener posts. The new access level is visible in the screener post workflow, under the access tab. Any screener post with a logged-in access setting will be visible to contacts logged in to the Media Center and the Portal.
No screener post will be given the new access level unless admins actively set a screener post to be visible to logged-in contacts.
